1. Introduction

Welcome to ArabGym. We respect your privacy and are committed to protecting your personal data. This policy explains how information is collected, used, disclosed and protected when you use the ArabGym platform.

By using the platform, you agree to the practices described in this policy. If you do not agree with any provision, please stop using the service.

2. Data We Collect

a. Account data

  • The gym's name and the account holder's details (name, email address, mobile number)
  • Login credentials (email address and encrypted password)
  • Billing details and payment method (processed through approved payment providers; we do not store card data directly)

b. Member data

  • Full name, mobile number, email address (optional)
  • Date of birth, gender, nationality (optional)
  • ID images and emergency contact details
  • Attendance, subscription and payment records
  • Body measurements, when entered

c. Usage data

  • Access and request logs (IP address, browser type, pages visited)
  • Internal usage events for diagnostics and performance improvement

3. How We Use Your Data

  • Providing, operating and improving the platform's services
  • Processing payments and issuing invoices
  • Sending operational notifications (subscription reminders, payment receipts)
  • Providing customer support and responding to your inquiries
  • Analyzing performance, diagnosing faults and improving the experience
  • Complying with legal and regulatory requirements

We do not sell your data to any third party. Nor do we use it for advertising purposes on behalf of external parties.

4. Data Sharing

We may share your data only with the following parties:

  • Payment providers: (Stripe) to process your ArabGym subscription payments securely.
  • Infrastructure providers: trusted cloud servers to store data and run the service.
  • Bot protection: (Google reCAPTCHA or Cloudflare Turnstile, whichever the service uses) to check that the person using the sign-in, registration, password-reset, verification-code and contact forms is human rather than an automated program; for this the provider receives your IP address and browser and device information.
  • Notification services: to send WhatsApp and email messages related to your account.
  • AI provider: (Google Gemini) to answer the questions you ask the in-dashboard assistant, using only the data needed for the answer.
  • Legal authorities: where required by law or a court order.

5. Data Security

We apply industry-standard security measures to protect your data: TLS encryption for data in transit, password hashing with bcrypt, and isolation of each gym's data from every other gym in our infrastructure. However, no method of transmission over the internet is 100% secure, and we advise you to keep your login credentials confidential.

6. Data Retention

We retain your account data for as long as your subscription is active. After the subscription is cancelled or the account is deleted, we retain the data for 90 days so that you can restore it before it is permanently deleted. We may retain billing data for longer in accordance with legal requirements.

7. Your Rights

  • Access: you may request a copy of the personal data we hold about you.
  • Correction: you may correct any inaccurate data from your account settings.
  • Deletion: you may request deletion of your account and data. We may retain some data for legal purposes.
  • Objection: you may object to certain forms of processing of your data by contacting us.

8. Cookies

We use cookies that are strictly necessary for operation (such as login session cookies). The bot-protection provider may also set its own cookies on the pages where its check appears, to tell people from automated programs. We do not use advertising tracking cookies. You can set your browser to refuse cookies, which may affect some platform features.

9. Changes to This Policy

We may update this policy from time to time. We will notify you of any material changes by email or by an in-platform notice. The date of the last update is shown above.
